Description of practices

A-1. AN EXAMPLE OF KM POLICIES Policy statement:

KM will enable appropriate knowledge actions with a defined purpose and scope to guide decision-making under a given set of circumstances within the framework of (Organization’s name) objectives and goals. KM will focus on issues of identifying, accessing, capturing, sharing, describing, integrating and preserving of (Organization’s name) knowledge assets to turn it into a knowledge based organization.

A-1.1. Introduction In a dynamic and ever-changing nuclear industry, Company X recognizes and believes that an environment of free and open knowledge sharing is critical to the success of our company. In order to help foster an open and enabling forum for the communication of thoughts, ideas, concepts, and information throughout our organization Company X has drafted this knowledge management policy.

This policy includes principles setting forth the fundamental concepts and guidelines providing specific information to implement KM initiatives.

A-1.2. Purpose The purposes of this policy are:

  • To foster a culture of openness by sharing and innovation across the organization;
  • To encourage employee to use the knowledge access platform; and
  • To preserve critical knowledge at risk of being lost.

A-1.3. Scope/application The KM policy applies to all employees of (Organization’s name) include those designated as permanent, probationary and contract employees.

A-1.4. Policy framework

  • Knowledge management activities and processes shall comply with and support (Organization’s name) organizational stated objectives and values;
  • Knowledge management practices and activities shall comply with relevant laws and regulations.
  • Roles of knowledge management department:
    • KM department is accountable for ensuring that information are updated and communicated using the KM system, in line with this policy;
    • KM department is responsible to establish the knowledge management framework and interpret the content of KM policy across the (Organization’s name);
    • KM department shall ensure company maximizes the value of knowledge assets, facilitate the deployment of knowledge info structure (hard and soft/explicit and tacit) to enhance knowledge sharing and creation culture;
    • KM department shall develop an effective measurement and monitoring of trends to inform policies to support knowledge sharing and creation and establish common development initiatives.
  • Policy details:
    • Nurturing KM customs, particularly identification, acquisition, sharing and preserving knowledge should be everyone’s responsibility in (Organization’s name);
    • All knowledge sharing should be encouraged and recognized by company management;
    • All key knowledge performance and measurement should be determined by the KM department.
  • Role of individual staff:
    • All individual staff shall be responsible for gathering, organizing and sharing their own explicit and tacit knowledge;
    • All individual staff shall define their key knowledge goals that aligned to the departmental objectives and goals;
    • All individual staff shall continuously update their own profile in the ‘Expert/Staff Directory’;
    • All individual staff shall be encouraged to attend knowledge sharing session organized by the company;
    • All individual staff shall update databases of good work practices and lessons learned to retain organizational knowledge.
  • Role of Knowledge Manager and Head of Department:
    • Knowledge manager should be accountable for improving the circulation of knowledge throughout the organization;
    • Knowledge manager is responsible to apply new knowledge, including the associated tacit elements, to improve behaviours;
    • The Head of Department is accountable for building new intellectual capital required for future success;
    • Knowledge Manager is responsible for creating awareness and conducting at least two knowledge sharing sessions per year;
    • The Head of Department is responsible to ensure all reports (training, visit, contact and manual) are archived in the knowledge portal;
    • A copy of all other documents produced by the departments’ staff should be sent to KM unit for archiving centrality;
    • Departments should define whether the document is ‘public’ or ‘private (only to the departmental use).
  • Compliance:
    • All Heads of Department are responsible to ensure that this Policy is operationalized within their respective departments;
    • All employees shall be trained and coached (mentored) by Head of Department and the Knowledge Management Department to implement this policy.
